PeakAire is a growing air filter brand that needed a more efficient way to synchronize fulfillment between their online store and existing custom fulfillment system. Their legacy system only supported Amazon orders, so the project focused on building functionality to accurately export and import order data across platforms. By automating and streamlining this process, the new application reduced manual effort, minimized operational risk, and created a more seamless fulfillment workflow.

Prismfly was brought in to engineer a custom Shopify app that automated fulfillment from export to tracking reconciliation while preserving compatibility with PeakAire’s existing operational structure. The solution needed to reduce human error, improve speed, and create a scalable infrastructure for future fulfillment enhancements.

Strategy & Approach

Prismfly engineered a custom Shopify app that retrieves order data hourly, formats it into a CSV, and routes it through automated email middleware. For precise tracking, the system automatically splits line items by quantity, converting multi-item orders into individual single-item entries.

When tracking data is returned, the application matches it to specific order IDs to update Shopify, fulfill products, and trigger customer notifications automatically. This architecture enables flexible partial fulfillment and operates on a highly efficient infrastructure deployed via Digital Ocean's App Platform using GitHub and Docker.

Challenges

The core challenge was replacing a fragile manual workflow without disrupting PeakAire's broader fulfillment ecosystem. The app needed to integrate smoothly with existing systems, preserve flexibility for split shipments, and eliminate repetitive tasks without adding complexity for the client.

Reliability was equally critical, as duplicated exports or fulfillment mismatches could create downstream operational issues. The system required strict verification methods to ensure absolute accuracy and prevent anomalies like duplicated order exports.

It was essential to establish a reliable way to double-check exported order data against the actual number of orders in the Shopify admin to maintain a pristine data flow.

Results & Outcome

The final solution transformed PeakAire's manual workflow into a reliable automation engine supported by a clean code base and API endpoints. By eliminating manual tracking entry and automating order exports, the system improved speed and gained the flexibility to process split shipments accurately.

Flat usage charts confirm the application's current stability , creating a lower-risk operational foundation that is perfectly positioned for future scaling, such as integrating direct shipping label purchases within Shopify.
